We are looking for a talented and motivated individual to be our next Receptionist. This is a great opportunity to gain experience in an International NGO and help GOAL delivering its programmes that transform lives every day. The key to success in this role will be a friendly and professional manner, strong attention to detail and the ability to multitask and deal with various stakeholders.

The Receptionist will always serve as a positive first impression of the company, while handling the daily responsibilities with ease.

Main Responsibilities may include the following, subject to slight changes as befits the role:

Reception

  • Ensure that all telephone calls are dealt with in a timely, professional and courteous manner.;Make sure the phone is operating correctly, including diverting calls and taking messages recording;appropriate out of hours messages.
  • Maintain safe well-presented and clean Reception area
  • Ensure that visitors are greeted and directed to the appropriate person.
  • Ensure that all correspondence and deliveries to reception are passed on in a timely manner.
  • Work with the logistics department to manage stationery supplies, get approval for orders and;track invoices.
  • Work with Dublin HQ office facilities including handling of facility related issues, cleaning and general maintenance contracts.
  • Managing supplier and vendor relationships.
  • Manage post and couriers for the office, including organising FedEx/DHL and ad hoc couriers, sending out daily post, distribute incoming post, weekly check-ups and tracking of invoices
  • Run the meeting room(s) schedule and ensure it is prepared for each meeting as per spec
  • Organise tea & coffee, staff lunches when needed for in-house meetings, pick up lunch orders or props/materials for the team.
  • General office and administration tasks, including scanning, filing, research.
  • Make Business travel arrangements for office staff / SMT or Board Members
  • Make arrangements for special/VIP visitors to the Dublin office.
  • Identify and implement cost efficiencies and ways to work smarter and better.
  • Provide support to the team as and when required
  • Ensure that there is always someone appropriate covering reception.
  • Receive and record donations from members of the public.
  • Welcome visitors to the office and manage main telephone line, directing calls and taking messages.
  • Maintain visitor logs.
  • Maintain safe and clean reception area.
  • Manage physical Dublin office facilities, including handling of any facilities related issues, cleaning and general maintenance contracts.

Experience and requirements:

  • 2-3 years` experience in a receptionist/admin role in a business support function and/ or customer service
  • Courteous, professional and welcoming -Proactive with a “can do” attitude
  • Highly organised with strong planning, coordinating and time management skills
  • Knowledge of Microsoft Word, Excel and Outlook
  • Ambitious with a continuous improvement focus
  • Results driven.
  • Friendly welcoming personality
  • Excellent interpersonal and communication skills with excellent written and spoken English.
  • Interest in the humanitarian sector
  • Passion for getting the job done on time and where everyone goes “Wow!”
